Microsoft Teams: Recording and Sharing Video

Overview

Microsoft Teams is an easy way to pull together a group to share, collaborate and communicate in one central location without the use of phone calls that take time away from our day or emails that can easily get buried.  From directly within Teams we can bring everyone together to share information, securely edit files live and at the same time, bring together Microsoft Office 365 apps (OneDrive, OneNote, Planner, Forms, etc) and third-party apps and websites in one place, tag members of the team in conversations or actions and customize the work through adding notes (OneNote and others) and other applications.  

Within Teams, recording things for your own private use is easy, fast, and a great way to archive videos for your own use.  Here are our suggestions on the best way to make recordings, and use them in other places (classes, editing, etc).

Creating Videos in Microsoft Teams

  1. Launch Teams from your preferred method (this works in the desktop application, or web (Chrome or Edge only) version).
  2. First, it is recommended that you create your own, private team - that only you have access to.  If you do not have one, you should create one now.  You can do this by clicking Join or Create a Team, then selecting Create a team, then click Other, then name your team and make sure Privacy is set to Private.  There is no need to add anyone to your Team, or any further configuration to your Team at this time.
  3. Next, jump into your Team and in the General (or any other) and click on the Meet button in the upper-right hand corner.
  4. Next, you will need to give your meeting an appropriate name, turn on your camera (if you need it on), your microphone, then start the meeting by clicking Join now.
  5. Once your meeting has started, you can begin recording by clicking the three dots on the action menu, then click Start Recording

       

     
  6. You can now record yourself speaking on camera.  If you need to share resources (such as showing a document, video, PowerPoint), you will need to click on the Share icon, that looks like an up arrow in a box.



     
  7. Once you click on the share icon, the share drawer will slide up from the bottom.



    If you are sharing a video from a web link, or application on your computer, be sure to click the Include computer sound slider.  If you are sharing something from a web browser, or a document, it might be best to share your whole desktop.  Otherwise, choose the window that has the item you are sharing in it.  
     
  8. To share a PowerPoint, Microsoft recommends you upload the PowerPoint to your meeting and Team by clicking the Browse link next to the PowerPoint area.  This allows you to easily present, talk through the presentation, and record it quickly without loading PowerPoint on your computer and sharing the screen.  You can, of course, do that if you wish.
  9. If you wish to share and record a whiteboard, it is recommended that you download and install the Microsoft Whiteboard app from here if you are on a Windows computer.  If you are on a Mac, you will need to use the web version of Whiteboard and share that screen, or utilize another solution for whiteboarding.  If you are a Mac user and have questions, please contact the Help Desk and we will help you select the product appropriate for your needs.

    Once you have your whiteboard app ready, you can share that as a Window or from your Desktop.
     
  10. To stop your recording, and begin the upload process to Stream, click on Stop Recording which is in the same location as start recording.


     
  11. You can record multiple videos per meeting session, or start a new meeting for each.  That is up to you.  Once you are done, click the red Leave button in the upper right hand corner.
  12. After you end your meeting, Teams will now upload your video into Microsoft Stream.  This may take several minutes, to hours depending on how long your video is.  In the details area of your meeting you will see this until it has completed.


     
  13. Once your meeting is done, you will see the video in place of the previous message in your meeting details.  You will also receive an email letting you know it is done, but that can take longer than accessing it from the meeting location in Teams.


     
  14. Click the three dots, and you will be given several options that allow you to work with your video.

    Open in Microsoft Stream - this will open a web browser and take you directly to your video play page (you may be asked to log in to Stream with your FalconNet email/password).  You can edit permissions to the video, or download it from here.
    Share - this will allow you to share a link to the video right from here. You can also set permissions from here.
    Get Link - this will give you the link to your video in Stream.  No one will be able to view this video unless you edit the permissions in Stream.
    Report a problem - This allows you to tell Microsoft that something did not work right with this video.

    None of the other links are applicable to this scenario.
     
  15. Open in Microsoft Stream - the main reason to chose this is to either set new permissions, or download the file.  Once you are logged in, and on the page for your video, click the three buttons below the video to make the video menu appear.



    - To download the video, click Download Video.  It will automatically download to your Downloads folder as an MP4 file.  You may now edit, or distribute it as you need to.
    - To edit permissions (and give others access to the video, click Update Video Details.  To learn more about updating video details and permissions, click here.
     
  16. Share - you can quickly share the video with everyone, and edit permissions by clicking Share.



    - If you wish to give everyone at Cedar Crest access to your video in Stream, and get a link, click Share.
    If you wish to edit the permissions, and then share it from Stream, click Manage permissions in Microsoft Stream. To learn more about updating video details and permissions, click here.  Remember: if you are going to give the link to an instructor, or post the link in Canvas, you will need to give those people access to the video in Stream. 
  17. Get link: this will give you a direct link to your video in Stream.  Remember: if you are going to give the link to an instructor, or post the link in Canvas, you will need to give those people access to the video in Stream. 

These instructions should give you an easy way to record, and share your videos for class or other things that you need to record a video for.
