Set Up OneDrive Backup on a New Computer

Overview

When you receive a new Cedar Crest College Windows computer, OneDrive helps keep your files accessible and protected by synchronizing them with your College Microsoft 365 account.

OneDrive can back up your Desktop, Documents, and Pictures folders so you can access supported files from other devices.

Step 1: Open OneDrive

  1. Sign in to your computer using your Cedar Crest account.
  2. Look for the OneDrive cloud icon in the notification area near the clock.
  3. If you do not see the icon, open the Start menu, search for OneDrive, and launch the application.
  4. If prompted, enter your Cedar Crest College email address.
  5. Complete the Microsoft sign-in process, including multifactor authentication if requested.

On College-managed computers, OneDrive may already be signed in automatically.

Step 2: Enable Folder Backup

  1. Click the OneDrive cloud icon near the clock.
  2. Select the Settings (gear) icon > Settings.
  3. Select Sync and backup.
  4. Click Manage backup.
  5. Review the available folders, typically:
    • Desktop
    • Documents
    • Pictures
  6. Turn on backup for the folders you want to protect, if the options are available.
  7. Select Save changes or Start backup, depending on the version of OneDrive.

Your computer will begin synchronizing the selected folders.

Note: Some backup settings may be configured or managed automatically by Cedar Crest IT.

Step 3: Verify Your Files Are Syncing

  1. Click the OneDrive cloud icon.
  2. Check the synchronization status.
  3. Wait for any pending uploads to finish.
  4. Open OneDrive on the Web and sign in with your College account.
  5. Open OneDrive and confirm your files appear.

The initial synchronization may take some time depending on the number and size of your files.

Understanding OneDrive Status Icons

  • Blue cloud: File is available online and downloads when opened.
  • Green check mark: File is available locally on your computer.
  • Solid green circle with white check mark: File is marked to always remain available on this device.
  • Circular arrows: File is currently synchronizing.
  • Red X: There is a synchronization problem that needs attention.

Important Information

  • OneDrive synchronization is not a substitute for maintaining appropriate backups of critical files.
  • Files outside the folders selected for backup may not be synchronized.
  • Deleting a synchronized file may also delete it from OneDrive and other connected devices.
  • College OneDrive access is subject to your Cedar Crest account eligibility.
