Outlook: Manage Focused Inbox and Email Filters

Overview

Microsoft Outlook provides several tools to help you organize your email and find important messages. You can use Focused Inbox to prioritize messages, Filters to temporarily display specific types of email, and Rules to automatically organize incoming messages.

These features are available in Outlook for Windows, Mac, and the web, although some settings may differ by version.

1. Using Focused Inbox

Focused Inbox automatically separates your incoming email into two tabs:

  • Focused: Messages Outlook identifies as most important to you.
  • Other: Messages Outlook considers less important, such as newsletters and automated notifications.

Both tabs are part of your Inbox. Messages placed in Other are not deleted or sent to Junk Email.

Important: Check your Other tab regularly to avoid missing messages.

Turn Focused Inbox On or Off

New Outlook for Windows and Outlook on the Web

  1. Open Outlook or visit outlook.office.com.
  2. Select Settings (gear icon).
  3. Navigate to Mail > Message List.
  4. Find the Focused Inbox setting.
  5. Enable or disable Sort messages into Focused and Other.
  6. Select Save, if prompted.

Note: In some Outlook versions, this setting may appear under Mail > Layout.

  1. Open Outlook.
  2. Select the View tab.
  3. Select Show Focused Inbox to enable or disable the feature.

Outlook for Mac

  2. Select Outlook > Settings.
  3. Open the relevant mail or reading settings.
  4. Locate the Focused Inbox option and enable or disable it.

2. Move Messages Between Focused and Other

You can teach Outlook which messages are important by moving them between the two tabs.

Move a Message to Focused

  1. Open your Inbox.
  2. Select the Other tab.
  3. Right-click the message you want to move.
  4. Choose one of the following:
    • Move to Focused: Moves only the selected message.
    • Always Move to Focused: Moves the selected message and directs future messages from that sender to Focused.

Move a Message to Other

  1. Open your Inbox.
  2. Select the Focused tab.
  3. Right-click the message.
  4. Choose one of the following:
    • Move to Other: Moves only the selected message.
    • Always Move to Other: Directs future messages from that sender to Other.

Tip: If important College communications repeatedly appear in Other, use Always Move to Focused for that sender.

3. Filter Your Inbox to Find Messages

Filters temporarily change which messages are displayed in your Inbox without moving or deleting them.

Using Filters in New Outlook and Outlook on the Web

  1. Open your Inbox.
  2. Select Filter near the top of the message list.
  3. Choose an available filter, such as:
    • Unread: Display messages you have not read.
    • Flagged: Display messages marked for follow-up.
    • To me: Display messages addressed directly to you.
    • Has files / Attachments: Display messages containing attachments.
  4. To return to your normal Inbox view, clear the filter or select All.

Available filter choices may vary by Outlook version.

4. Create Rules to Automatically Organize Email

Inbox Rules allow Outlook to automatically perform actions when incoming messages meet certain conditions.

For example, you can create a rule that moves messages from a particular sender into a designated folder.

Create a Rule in New Outlook or Outlook on the Web

  1. Open Outlook.
  2. Select Settings (gear icon).
  3. Navigate to Mail > Rules.
  4. Select Add new rule.
  5. Enter a descriptive name for your rule.
  6. Choose a condition, such as:
    • From a specific sender
    • Subject includes certain words
    • Sent to a particular recipient
  7. Choose an action, such as:
    • Move to a folder
    • Categorize the message
    • Mark the message as important
  8. Add exceptions if needed.
  9. Select Save.

Create a Rule in Classic Outlook for Windows

  1. Open Outlook.
  2. Select File > Manage Rules & Alerts.
  3. Select New Rule.
  4. Follow the Rules Wizard to choose conditions and actions.
  5. Select Finish, then Apply or OK.

5. Edit or Delete Existing Rules

New Outlook and Outlook on the Web

  1. Select Settings > Mail > Rules.
  2. Locate the rule you want to modify.
  3. Select the edit option to change its conditions or actions.
  4. Select Save.

You can also disable or delete rules you no longer need.

Classic Outlook for Windows

  1. Select File > Manage Rules & Alerts.
  2. Select the rule you want to modify.
  3. Choose Change Rule or Delete.
  4. Select Apply or OK.

6. Troubleshooting Missing or Misplaced Emails

If an expected email is not visible in your Inbox:

  1. Check both the Focused and Other tabs.
  2. Clear any active Inbox filters.
  3. Check your Junk Email folder.
  4. Check Deleted Items and Archive.
  5. Review any Inbox Rules that may have moved the message.
  6. Use Outlook's search bar to search by sender, subject, or keyword.

Remember: Focused Inbox is not a spam filter. Messages identified as junk email are handled separately.
