Overview
Microsoft Forms allows you to move a form or quiz from your personal account to a Microsoft 365 group.
Moving a form to a group allows group members to manage the form, edit questions, review responses, and collaborate without relying on a single person's account.
This is recommended for departmental forms, surveys, registration forms, and other forms that need to remain available when employees change roles or leave Cedar Crest College.
Before You Begin
Before moving a form, make sure:
- You are the owner of the form you want to move.
- You are a member of the Microsoft 365 group receiving the form.
- The destination group is appropriate for the information being collected.
- Group members are authorized to view the form and its responses.
Important: Moving a form gives the group ownership of the form, including access to its responses. Do not move forms containing confidential or sensitive information to a group unless all members are authorized to access that information.
Step 1 – Open Microsoft Forms
- Open a web browser and go to Microsoft Forms.
- Sign in using your Cedar Crest College email address and password.
- Complete multifactor authentication (MFA) if prompted.
- Scroll to the bottom of the Forms homepage.
- Select All My Forms to view the forms associated with your account.
Step 2 – Move the Form to a Group
- Locate the form you want to move.
- Select More options (...) in the upper-right corner of the form's tile.
- Select Move.
- A list of available Microsoft 365 groups will appear.
- Select the group that should own the form.
- Click Move to complete the transfer.
Note: You must be a member of the destination group. Being listed as a group owner does not necessarily mean you are also a member.
Step 3 – Verify the Form Was Moved
- Return to the Microsoft Forms homepage.
- Scroll to the My groups section.
- Select the Microsoft 365 group where you moved the form.
- Confirm that the form appears in the group's list.
- Open the form and verify that its questions and existing responses are available.
The form is now managed through the Microsoft 365 group.
What Happens After Moving a Form?
Group Members Can Manage the Form
Members of the destination group can access and manage the form, including editing questions, reviewing responses, and sharing it with others.
Existing Responses Are Preserved
Previously collected responses remain associated with the form.
When you open the form's response workbook after the transfer, Microsoft Forms creates a new Excel workbook in the group's SharePoint Documents library. The workbook includes existing responses after its initial synchronization.
New responses can then synchronize with that workbook.
Important: Do not move the response workbook to another SharePoint location. Moving it can prevent new responses from synchronizing.
Existing Form Links
Existing response links may continue working after the form is moved.
However, Microsoft notes that links created while the form was individually owned may stop working after the original owner's account is permanently deleted.
Recommendation: After transferring a form, generate a new response link from the group-owned form and replace older links in emails, webpages, Canvas courses, and other locations where the form is published.
Group Ownership Cannot Be Transferred Again
Microsoft Forms currently does not support directly moving a group-owned form from one Microsoft 365 group to another.
Make sure you select the correct destination group before completing the transfer.
Troubleshooting
I Don't See the Move Option
- Confirm that you own the form.
- Make sure you are viewing the form under All My Forms.
- Forms shared with you for collaboration cannot be moved unless you are their owner.
The Group I Want Is Not Listed
- Confirm that the Microsoft 365 group exists.
- Verify that you are a member of the group.
- If you recently joined the group, sign out and back in to Microsoft Forms.
I Cannot Move a Form Owned by Someone Else
Only the form's owner can move it through the normal Microsoft Forms interface.
If the original owner has left Cedar Crest College, IT administrators may be able to assist with transferring ownership, depending on the account's status and Microsoft's retention requirements.
My Form Is No Longer Accepting Responses
- Open the form from the destination group.
- Select Settings.
- Verify that Accept responses is enabled.
- Review the form's response audience.
- Test the form using its current response link.
