Printing PowerPoint Handouts

Printing Handouts to a Printer from a Campus Lab Computer

If you are printing a power point presentation to use as notes for class, Power Point has a printing option that allows you to print out a handout format of all the slides, giving you space to write additional notes for each slide.

Here are the steps:

  1. Open the presentation you’d like to print in Power Point. Click on the File tab.
  2. Choose Print in the left column.
  3. Under the Settings section, drop down the box that reads Full Page Slides, and choose the Handouts format that you prefer. Most choose 3 slides.
  4. You can also drop down Print One Sided and choose  Print on Both Sides (long side for Portrait, short side for Landscape orientation).
  5. Click Print to print your slides.

The presentation will print out in this format: handout preview image.

Saving as Handout Format to a PDF file to print via WebPrint or Email to Print

Because WebPrint has limited customization when printing Power Point files, here is a quick step to save you quota funds and space in your folder when printing a presentation in WebPrint.

  1. Open the file in PowerPoint. Click on the File tab and choose Save As..
  2. Under Save as Type, choose PDF (*.pdf).
  3. Click on the Options… button.
  4. Under Publish options, dropdown Publish what: and choose Handouts.
  5. For Slides per page, choose the number of slides you wish to print per page. 3 slides will give you the lines for notes. You will see the preview photo to show you how it will print.
  6. Click OK to close the Options window, and then Save to save the pdf file.
  7. To print, login to the PaperCut website, http://ccc-papercut2:9191/user and upload the pdf file you just created. For detailed directions, look under Related Articles on the right side of this page.
