Student Laptop Return Procedure
Students who withdraw, transfer, or take a Leave of Absence from the College must choose one of the following options:
- Pay the remaining laptop balance and keep the laptop; or
- Return the laptop, which will cancel any remaining scheduled laptop payments.
Refunds for payments already made will only be considered if the laptop is returned before the 60% point of the semester.
To ensure a smooth return process, please follow the instructions below carefully.
What to Return
Please return the following items:
- College-issued laptop
- Power adapter and charging cable
Before returning the equipment, verify that all items are in good condition and free of personal labels or stickers.
Return Option 1: On-Campus Drop-Off
Return Location
The laptop and charging cable must be delivered to the Campus Police Switchboard located in the Safety & Facilities Building. The switchboard is open 24 hours a day, 7 days a week.
Receipt Issued
The dispatch officer will accept the equipment and provide a receipt as proof of return.
Device Collection and Assessment
An Information Technology staff member will collect the laptop within two business days. The device will then be evaluated within 10 business days for any damage that may result in charges to the student.
Student Accounts will be notified once the laptop has been returned and any applicable damage charges have been assessed.
Questions About Charges
Questions regarding account balances, refunds, or damage charges should be directed to the Student Accounts Office after the laptop has been returned.

Before You Ship
Before shipping your laptop:
- Back up any personal files you wish to keep.
- Sign out of all personal accounts (Google, Microsoft, Apple ID, etc.).
- Remove any personal information stored on the device.
- Do not erase, reimage, or reset the laptop. Information Technology will perform this process upon receipt.
- Ensure the laptop powers on and does not have excessive physical damage.
Packaging Instructions
Download, complete and include the Laptop Return Packing Slip located under Attachments on this page.
To help prevent damage during transit:
- Turn off the laptop completely.
- Place the laptop in a protective sleeve or wrap it securely in bubble wrap.
- Pack the charger separately within the box to prevent damage to the laptop.
- Use a sturdy shipping box with adequate packing material on all sides.
- Seal the box securely with packing tape.
The College is not responsible for damage caused by inadequate packaging during shipment.

Shipping Insurance and Tracking Requirements
Because college-issued laptops are valuable assets, students are strongly encouraged to purchase shipping insurance when returning equipment.
Recommended Insurance Coverage
- Insure the shipment for the full replacement value of the laptop and charger.
- If you are unsure of the replacement value, contact Information Technology before shipping.
- Most major carriers, including UPS, FedEx, and USPS, offer optional shipping insurance.
Tracking and Signature Confirmation
Students should select a shipping method that includes:
- Tracking
- Delivery confirmation
- Signature confirmation upon delivery (recommended)
These services provide proof that the package was shipped and delivered to the College.
Tracking and Confirmation
After shipping your laptop:
- Retain your shipping receipt.
- Save your tracking number.
- Email the tracking number to helpdesk@cedarcrest.edu within 24 hours of shipment.
Providing tracking information allows Information Technology to monitor the shipment and confirm receipt.
Retain Shipping Documentation
Please keep the following documents until you receive confirmation that your return has been processed:
- Shipping receipt
- Tracking number
- Insurance documentation
- Proof of delivery provided by the carrier
Lost or Damaged Shipments
If a package is lost or damaged during transit:
- Notify Information Technology immediately.
- Provide the tracking number and shipping carrier information.
- File a claim with the shipping carrier if insurance was purchased.
Students may be responsible for replacement costs if equipment is lost in transit and adequate shipping protection was not obtained.
The College reserves the right to assess charges for equipment that is not received or that is returned with damage beyond normal wear and tear.
