Overview
If an email message or folder appears to be missing from Microsoft Outlook, it may have been accidentally moved, placed inside another folder, archived, or hidden from view.
Outlook includes search and folder navigation tools that can help you locate missing items.
This article explains how to find missing emails and folders in Outlook for Windows, Mac, and the web, including how to use advanced search options.
1. Find a Missing Email Folder
If a folder has disappeared from your Outlook folder list, it may have been accidentally moved inside another folder.
Check Your Folder List
- Open Outlook.
- Locate the folder list on the left side of the screen.
- Expand your email account to display its folders.
- Look for arrows next to folders indicating that they contain subfolders.
- Expand folders to check whether the missing folder was accidentally moved inside another folder.
- Check the Deleted Items folder to see whether the folder was accidentally deleted.
Tip: A folder may be nested several levels deep. Expand all likely parent folders before assuming it has been deleted.
Check Outlook on the Web
If you cannot locate the folder in the Outlook desktop application:
- Open Outlook on the web.
- Sign in with your Cedar Crest College Microsoft 365 account.
- Expand your folder list.
- Check for the missing folder, including within other folders and Deleted Items.
If the folder appears in Outlook on the web but not the desktop application, the issue may be related to the Outlook application or its synchronization.
2. Move a Folder Back to Its Original Location
If you find a folder inside another folder, you can move it back.
- Locate the misplaced folder in the folder list.
- Right-click the folder.
- Select Move Folder or Move, depending on your Outlook version.
- Choose the destination folder or mailbox location.
- Confirm the move.
You may also be able to drag the folder to its intended location.
Important: Verify the destination before moving the folder to avoid accidentally placing it inside another folder.

5. Useful Outlook Search Examples
You can enter search operators directly into Outlook's search bar.

6. Check Other Mail Folders
If the message does not appear in your search results, check these locations:
- Deleted Items: Messages that were deleted.
- Junk Email: Messages identified as spam.
- Archive: Messages that were archived.
- Sent Items: Messages you previously sent.
- Drafts: Messages that were started but not sent.
- Other: Messages categorized as less important by Focused Inbox.
Also review any Inbox Rules that may automatically move messages into other folders.
7. Recover a Deleted Email
If you locate a missing email in Deleted Items:
- Open Deleted Items.
- Select the message.
- Right-click and choose Move, or use the Move option on the toolbar.
- Select Inbox or another appropriate folder.
If the message is no longer in Deleted Items, Outlook may offer an option to Recover items deleted from this folder.
Recovery depends on the College's Microsoft 365 retention policies and how long ago the message was deleted.
8. Troubleshooting Outlook Search
If Outlook does not return expected results:
- Verify that you are searching the correct mailbox.
- Expand the search scope to include additional folders.
- Remove unnecessary filters.
- Try searching using a different keyword or the sender's email address.
- Check Outlook on the web to determine whether the message appears there.
- Restart the Outlook desktop application if necessary.
If messages appear in Outlook on the web but not in the desktop application, contact the IT Help Desk for additional troubleshooting.
Important: Search results may vary between Outlook versions, particularly when searching shared mailboxes or online archives.
