Retrieving and Deleting Voicemails in Teams Phone

Overview

Microsoft Teams is an easy way to pull together a group to share, collaborate and communicate in one central location without the use of phone calls that take time away from our day or emails that can easily get buried.  From directly within Teams we can bring everyone together to share information, securely edit files live and at the same time, bring together Microsoft Office 365 apps (OneDrive, OneNote, Planner, Forms, etc) and third-party apps and websites in one place, tag members of the team in conversations or actions and customize the work through adding notes (OneNote and others) and other applications.  And now - it is our phone system!

Retrieving and Deleting Voicemails in Teams

Once you have set up voice mail, you will need to be able to retrieve them. Here is how:

  1. Start by accessing your Teams Calling within Microsoft Teams by clicking on the Calls icon:

  2. Once the dialpad is on the screen, you will see a listing of all your call history.  This includes Teams audio and video calls, from both internal and external callers.
  3. Select the one in question that says Forwarded to voicemail.

  4. To the right of the history, you will see the voicemail appear.  Click the Play Button.  Notice that it also shows you a text transcription of the voicemail.

  5. Next, you may want to delete the voicemail.  If so, go back to the History, then right-click on the entry that says Forwarded to Voicemail.  Then click Delete.
You can also perform other actions such as adding them to your contact list, blocking the number, and calling the person back.
Note: deleted voicemails are not retrievable.

  6. If you want to search for a voicemail in your history, you can change the filter to Voicemail, and it will show you all of your voicemails.

  7. Note: Whenever someone leaves a voicemail, you will also receive an email with a transcription and an attachment (audio.mp3) that you can play to listen to the voicemail N without accessing Teams directly.  Note:  Deleting the email does not delete the voicemail.
