Setting Your Microsoft Teams Voice Mail and Out of Office Greeting

Overview

Microsoft Teams is an easy way to pull together a group to share, collaborate and communicate in one central location without the use of phone calls that take time away from our day or emails that can easily get buried.  From directly within Teams we can bring everyone together to share information, securely edit files live and at the same time, bring together Microsoft Office 365 apps (OneDrive, OneNote, Planner, Forms, etc) and third-party apps and websites in one place, tag members of the team in conversations or actions and customize the work through adding notes (OneNote and others) and other applications.  And now - it is our phone system!

Setting Up Your Voice Mail and Out of Office Greeting

Setting up voice mail is fast and easy in Microsoft Teams!  Here is how:

  1. Start by accessing your Teams Calling within Microsoft Teams by clicking on the Calls icon:


     
  2. Once the dialpad is on the screen, click in the lower left corner, and select More Settings.  Note: Once you've set your voicemail, you can turn voicemail on and off right here!



     
  3. First on this screen, go to Call handling and make sure Forward all calls is toggled on and Forward to voicemail is selected.
  4. you will see the Manage Voicemail section where you can record your greeting, change the behavior when someone calls, or use text-to-speech to generate a greeting for your voice mail.  Additionally, you can set and edit how your Out of Office works from here, as well.


     
  5. Click Record a greeting.  This starts a call to voicemail that prompts you to press 1 to record your greeting.

Setting Up Your Out of Office Greeting

  1. Under Manage out-of-office voicemail select the behavior (All the time or When Outlook automatic replies are on).
  2. If you have not recorded your out-of-office voicemail, you can do that by following the instructions for recording your voicemail greeting, but press 2 instead of 1.
