Teams Live Events: Bring a Presenter

Overview

Microsoft Teams Live Events is a great way to present to a large audience when you do not want direct interaction with the attendees.  Teams Live Events are great for presenting to those both internally, and externally -- and have internal and external (guest) presenters get their message across.  Sometimes you may be called upon to be a Presenter at a Teams Live Event.  This might be to present content, be a speaker, or moderate the Q&A.  Here is how you navigate the duties of a Presenter.

Joining a Teams Live Event as a Presenter

  1. Anyone can be a Presenter in a Teams Live Event.  The caveat is that they must be a part of a Team first. If you are part of the Cedar Crest community, you are all set.  If you have an external presenter, please see these instructions.
  2. Once you have been invited to the Teams Live Event as a Presenter you must make sure:
    - You join the event using a computer with the Teams Desktop Application installed.  You cannot be a Presenter from a mobile device, tablet, or the web version of Teams.
    - You have a camera and microphone installed and working in Microsoft Teams if you will be on video or speaking.
    - Have responded to the invitation that you will be attending.
  3. Sometimes when you click the link in the email, you may be taken directly to the event in a web browser.  If this happens, you will need to launch the Teams application from your desktop or applications list, then navigate to the calendar and join the event from there.

Navigating the Teams Presenter Toolbar

  1. When you join the meeting you will see the classic Teams experience.  When you mouse over the screen, you will see the toolbar pop up.



    From left to right:
    Status of the live event (this is in pre-live, but when it is live and broadcasting, this will change), Time in the event, Camera, Microphone, Share Tray, More Actions menu, Chat, Participants, Q&A, Leave Event
     
  2. To turn your camera on or off, click the camera icon.
  3. To turn your microphone on or off, click the microphone icon.

Monitoring the Q&A

  1. To open the Q&A window, click the Q&A icon on the toolbar.  You will see this screen:


     
  2. To moderate the Q&A, keep an eye on the New section.
  3. When a new question comes in, you can choose to reply directly to keep the answer private.  Then click Dismiss.
  4. You can also choose to Publish the question and answer it, this makes it so everyone in the event can see the question, and answer.
  5. If you click Make an announcement that is published immediately, and everyone can see it.

Sharing Content for the Producer

  1. When you share content, the Producer can see it and make it live when it is time to do so.
  2. To do this, click the Share Tray icon

     
  3. When you click this, this share try slides up from the bottom and you can choose what you need to share.


     
  4. Once selected, you will see only what you shared and the Producer will see it in their Content window, and be able to click and share it with the event.


     
  5. When you are done sharing, click the Close Share icon to stop sharing.
